How to check your leads, photos & messages
Everything people submit on inktheorytattoos.com — booking requests, the photos they upload, contact messages, and artist applications — lands in one private area called the admin. This page walks you through it from zero. It works the same on your phone and your computer.
Before you start, you need three things
- 1. The address: inktheorytattoos.com/admin
- 2. Your email — the one Cesar set your account up with.
- 3. Your password — Cesar sends it to you separately. Never share it; this area contains customers' personal info.
Tip: on your phone, open the address in Safari or Chrome and use “Add to Home Screen” so it's one tap away next time.
1Log in
- 1Open inktheorytattoos.com/admin in your browser. You'll land on the sign-in screen.
- 2Type your email and password exactly as Cesar sent them (the password is case-sensitive).
- 3Tap Sign in. You'll land on the Dashboard — you stay signed in on that device for 7 days.
2The Dashboard
The first screen is a summary of everything: number tiles up top (total inquiries, new this week, applications, messages), the most recent activity underneath, and quick links. Think of it as the “anything new?” glance.
Down the left side is the menu (the sidebar). On a phone it's tucked behind the button in the top-left corner — tap it to open the menu, tap any section to jump there.
3Inquiries — every tattoo lead
In the sidebar, under Operations, tap Inquiries. This is the important one: every person who filled out the “Design Your Tattoo” form, newest first. Each row is one person. Tap a row to expand it.

The little colored badges tell you the status:
- NEWThey finished the whole questionnaire — design details, photo, contact info. These are ready to call.
- PARTIALThey left their name and phone/email but didn't finish the design questions. Still a real person who wants a tattoo — worth a text (“Hey, saw you started a booking request…”), there's just less detail inside.
When you expand a lead, you'll see (top to bottom):
- Their photo of the body part they want tattooed — tap it to open full-size (more in the next step).
- Phone — on your phone, tapping it starts the call. Text works too.
- Email — tap to open a new email to them.
- Instagram handle, when they gave one.
- The design: styles, placement, size, detail level, cover-up yes/no, date of birth, and their description of the tattoo in their own words.
4The photos people send
During the questionnaire, every client uploads a photo of the body part they want tattooed. That photo sits at the top of the expanded lead in Inquiries. Tap it and it opens full-size in a new tab — from there you can save it or screenshot it for planning.
5Messages
Sidebar → Messages. These come from the general contact form on the website — questions that aren't booking requests. Tap one to read the full message; the email and phone inside are tappable, same as leads.
Junk from bots is now filtered out automatically before it ever reaches this list, so what you see here is worth reading.
6Artist applications
Sidebar → Applications. Tattoo artists applying to join the certified Ink Theory network. Each one shows where they work, years of experience, their styles, Instagram, a portfolio link, and why they want in. Steven reviews these — but it's good to know where they land.
7Good to know
- The sun/moon button in the top bar switches light and dark mode — pick whatever's easier on your eyes.
- Sidebar items marked Soon or Planned are previews of features being built (bookings calendar, AI booking agent, reports…). Safe to click — they just describe what's coming. Roadmap shows the whole plan.
- Sign out is at the bottom of the sidebar, under your name. On a shared computer, sign out when you're done.
Your 2-minute daily check
- Open Inquiries.
- Look for NEW badges — expand each one, look at the photo and description.
- Tap the phone number to call or text them while the lead is hot.
- Scan the PARTIAL ones — a quick friendly text often revives them.
- Glance at Messages for anything that needs a reply.
